Provide administrative support to the division by supplying information, maintaining files, scheduling appointments, generating standard reports and producing correspondence





This list of duties and responsibilities is not all inclusive and may be expanded to include other duties and responsibilities as management may deem necessary from time to time.


  • May act as Division record keeper by maintaining all personnel and related employment files, including confidential information in accordance with Region and Corporate policies and procedures. May ensure that all employee files are viewed only by authorized personnel and that files are kept confidential per Region policy and/or practice
  • May maintain accident, safety, driver certification files and workers' compensation records in accordance with the Region, Corporate and federal regulations
  • Provide administrative support to the General Manager and/or other Division management to include file and record maintenance, creation of various reports and/or correspondence
  • May provide job applicants with employment information and assist new employees with new hire paperwork
  • May act as the Division record keeper for EEO/Affirmative Action purposes
  • May act as the division Benefits Point of Contact assisting employees with eligibility, new enrollment and claims issues through communication with corporate benefits department. Maintains current knowledge of Company benefits
  • May administer drug testing policy to include pre-employment, random and post-accident/post-injury testing
  • May answer phones and either give information to callers or route the calls
  • Greet, screen and direct visitors, as needed
  • Route incoming mail, schedules appointments, files correspondence and other records, as necessary








  • Strong written and verbal communication skills
  • Ability to produce required administrative reports and correspondence
  • Computer skills required for inputting and retrieving data reports
  • Ability to communicate professionally with internal and external customers
  • Strong organizational skills
  • Strong ethics and the ability to keep information confidential





Education: High School Diploma, GED and/or equivalent work experience

Years of Experience: Minimum two years' experience as an Administrative Assistant or equivalent job duties

Preferred: Associates degree or some college level coursework preferred. Experience with related Human Resources, Employee Benefits or Safety Programs a plus, including working with confidential files, documents and other information

Certifications: Related training or certification preferred





  • Usual office equipment including computer, phone, fax machine, copier and calculator
  • Microsoft Office: Word, Excel, PowerPoint and Outlook
  • Company information system applications including Trux





  • Usual office environment





  • Ability to sit at a desk for long periods of time
  • Ability to organize various office systems through adjusting, connecting, lifting, pulling, pushing, bending or folding for the purpose of proper records development and/or management
  • Ability to use a computer and related devices, such as a keyboard or mouse or other related equipment, throughout the workday while seated at a desk or workstation
